Meridian Build Co. grew from four to twelve concurrent active projects over roughly eighteen months — a pace that outstripped the spreadsheet-and-shared-drive setup the firm had relied on since its early years. By the time growth plateaued at a dozen simultaneous sites, the operations team was maintaining five separate spreadsheets for project tracking, plus a standalone CRM for the sales pipeline that rarely stayed in sync with what was actually happening on-site.
The problem: growth outpacing the tooling
With twelve active sites, no single person could hold the full picture in their head, and no single document reliably held it either. Producing a leadership status report meant someone spending the better part of a day reconciling five spreadsheets against the CRM. Worse, the sales team — which had promised specific commitments to close deals — had no visibility into whether those commitments were being met once a project moved into delivery.
- Five separate spreadsheets, one per regional cluster of sites, updated inconsistently
- A CRM disconnected from actual project status, so sales couldn't track delivery
- Leadership reporting compiled manually, often a day or more out of date by the time it was reviewed
- No consistent way to compare progress across sites using the same criteria
The move to ConstructIQ
Meridian consolidated all five spreadsheets and its standalone CRM into ConstructIQ over a phased rollout, starting with the three largest active sites before bringing the full portfolio onto the platform. Every project now tracks status consistently, start to handover, in the same system that holds the customer and sales pipeline — meaning a quote that becomes a signed project carries its full history forward rather than starting over in a different tool.
The operational reporting change was immediate: instead of assembling a status view from five sources, leadership opens one dashboard reflecting current project state across all twelve sites. The sales team, for the first time, can see how projects they closed are actually progressing — closing a feedback loop that previously didn't exist.
The result
Meridian now runs all twelve active projects through ConstructIQ, with the five legacy spreadsheets fully retired. What used to take the better part of a day to compile for a leadership review now takes minutes, because the data was never scattered in the first place. The firm has since taken on additional concurrent projects with no corresponding increase in administrative overhead — the portfolio grew, but the reporting burden didn't.
“Before ConstructIQ, 'how are we doing' meant waiting for someone to pull five spreadsheets together. Now it means opening a dashboard.”
