Coastal Smiles Dental Group started as a single practice and grew to three clinics over four years — each one adopting whatever combination of spreadsheets, shared drives and paper charts worked at the time it opened. By the time the third clinic was up and running, the group had three incompatible ways of tracking the same kind of information, and no reliable way to see across all three at once.
The problem: three clinics, three versions of the truth
Each clinic manager had built their own system out of necessity, which meant patient records, scheduling conventions and even terminology for treatment stages differed clinic to clinic. A patient transferring between locations — not uncommon in the group's coastal service area — meant a manual handoff of paper notes and a re-entry of history into whatever system the receiving clinic used. The group moved all three clinics onto DentXE over a six-week rollout, migrating existing patient records clinic by clinic. The core requirement driving the decision was strict data separation: each clinic needed its own clean boundary, with staff seeing only what their role and their clinic required, while the group's leadership retained an aggregate view across all three.
Front-desk staff at each clinic reported the most immediate change: patient history, treatment notes and scheduling live in one place, searchable in seconds, rather than requiring a check across a folder, a spreadsheet and sometimes a phone call to another clinic. Hygienists and dentists get role-appropriate access automatically, without a manual permissions setup per staff member.
The result
Six months after full rollout, each clinic reports meaningfully less time spent on administrative reconciliation, and leadership now has a live, group-wide view without assembling it by hand. Patient transfers between clinics — previously a multi-step manual handoff — now carry forward automatically within the appropriate access boundaries. Perhaps most importantly for a healthcare group, the strict per-clinic data separation has held without a single cross-clinic access incident since go-live.
